What good fee-waiver evidence looks like
How to document consumer fee waivers so a posting check can trace them without guessing intent.
Fee waivers are generous to customers and awkward for auditors. The waiver event often lives in a customer-care tool while the ledger shows a missing fee. Bridging those two worlds is the whole job of a posting check.
Minimum fields that help
- Waiver ID and timestamp
- Customer or merchant identifier
- Fee type that was suppressed
- Approver name or role
- Campaign or goodwill reason code
- Expected reverse date, if temporary
Common gaps we still see
Care agents paste free-text reasons with no code, so finance cannot tell a marketing campaign from a complaint gesture. Temporary waivers lack reverse dates, so the fee never returns. Rate-card versions change mid-month without an archive, leaving samples without a reference price.
A practical habit
Export waivers daily into the same folder as settlement batches. When an auditor asks for March, you hand over one archive instead of rebuilding a ticket search under time pressure.
